03What we collect

Identity and contact

• Full name, date of birth
• Marital status and year of marriage
• Permanent address, city, state and PIN code
• Phone number and WhatsApp number
• Email address
• Profession or occupation
• Husband's name and occupation, where you choose to provide it
• Recent photograph

Application content

• Your reasons for applying, goals, qualities, prior experience and talents, as you describe them
• Preferred language of communication
• How you heard about Mrs South Icon
• Availability for auditions and camps
• Instagram handle and other social media handles, where provided

Emergency and welfare

• Emergency contact name, relationship and phone number
• Health and wellbeing information you choose to share, so that we can support you safely during physical activity at grooming camps

Technical and consent records

• IP address at the time of submission
• Date and time of submission
• Which consents you gave, and the version of this policy in force at that time

04Why we collect it

• To process and assess your application
• To contact you about auditions, selection, camps and the Grand Finale
• To verify eligibility, including age, marital status and residence
• To plan safely for your participation in physical activity at camps
• To reach your emergency contact if needed during an event
• To administer payment of the participation fee
• To meet legal, tax and accounting obligations
• To produce promotional material, where you have consented to this separately

05Consent

You give three separate consents at registration:

• Confirmation that your information is accurate. Required.
• Consent to promotional use of your photographs and video. Optional. Declining does not affect your application in any way.
• Agreement to our Terms and Conditions and this Privacy Policy. Required.

We record which consents you gave and when. You may withdraw any consent at any time by writing to events@gmedia.org.in.

Withdrawing consent (b) means we stop using your images in new promotional material. Material already published, printed or distributed may not be recoverable, and we will tell you honestly what can and cannot be withdrawn.

Withdrawing consent (a) or (c) means we can no longer process your application, and your participation ends. No refund arises, in accordance with our Terms and Conditions.

06Health information

Health information you share is used only to plan for your safety and comfort at grooming camps and events.

• It is seen only by our camp coordinator and medical support personnel
• It is never used in scoring, judging or selection
• It is never shared with sponsors, media or other participants
• You may leave this field blank

07Who sees your data

Internal. Our organising team, on a need-to-know basis.

Service providers. Our database and file storage provider, hosted in Mumbai, India; our hosting and application provider; our payment gateway partner; our bot-protection provider; our email delivery provider. Each processes data only on our instructions and only to the extent needed to provide their service.

Judges and panel. Selected applicants' names, photographs and application content are shared with judges and mentors for assessment. Your contact details, address and health information are not shared with them.

Sponsors and media. We do not share your personal data with sponsors or media, except images and information covered by consent (b), where you have given it.

Legal. We may disclose data where required by law, court order or a lawful request from a government authority.

08Where your data is stored

Primary storage is in Mumbai, India. Some service providers may process data outside India as part of their normal operations. We select providers who apply appropriate safeguards.

09How long we keep it

We delete data by permanent removal from our live systems. Backups are overwritten on a rolling cycle.

10Your rights

Under the Digital Personal Data Protection Act, 2023, you have the right to:

• Access a summary of the personal data we hold about you
• Correct or complete inaccurate or incomplete data
• Request deletion of your data, subject to our legal retention obligations
• Nominate another person to exercise these rights on your behalf if you are unable to
• Withdraw consent, as described in section 5
• Raise a grievance with us, and thereafter with the Data Protection Board of India

To exercise any of these, write to events@gmedia.org.in with your name and registration reference number.

11Security

• Applicant data is stored in a database that is not accessible from our public website
• Photographs are stored in a private container and cannot be accessed by public link
• Location metadata is automatically stripped from every photograph on upload
• Access is restricted to authorised team members
• Data is transmitted over encrypted connections

No system is perfectly secure. If a breach occurs that is likely to affect you, we will inform you and the Data Protection Board of India as required by law.

12Children

Mrs South Icon is open only to women aged 18 and above. We do not knowingly collect data from anyone under 18. If we discover that we have, we delete it.

13Cookies

Our website uses cookies necessary for the site to function and for bot protection. We do not use cookies for advertising or cross-site tracking.

14Changes to this policy

We may update this policy. The version in force when you registered is the version that governs your data, unless a change is required by law. Material changes will be communicated to registered applicants by email.
